The context
Exara AI is exactly the kind of company most enterprise hiring tools were not built for: a small founding team, no HR function, hiring driven by founders between everything else they have to do in a week. The headcount they will add over the next twelve months is small in absolute numbers and large in proportion to the team — every hire shifts the company.
At this stage, the failure mode is rarely "we hired the wrong person from a long shortlist." It is "we did not run a real first conversation with the people who applied, because we did not have time, so we hired from the network and hoped." That is how early-stage companies end up with a team that all interviewed each other in coffee shops and a backlog of applicants nobody ever called.
Exara AI joined Voxxhire as a design partner specifically to test whether a structured screening layer can give founder-led hiring the discipline of a real recruiter, without forcing the founders to become one.
Why "design partner" and not "customer story"
We are calling Exara AI a design partner because the relationship is two-way:
- Exara AI gets early, hands-on access to Voxxhire and a direct line to our team.
- We get unvarnished feedback from a small team that has no patience for features that do not earn their place in a hiring workflow.
That is incompatible with a polished "look at our great customer" write-up at this stage. We would rather be honest about what we are learning together than publish a glossy story with no data behind it.
What is being used
The deployment is deliberately minimal. A startup at this size does not need an enterprise pipeline UI — it needs a fast way to run a real first conversation with every applicant who is plausibly in scope.
- Structured first-round AI interviews — Every applicant for a given role gets the same set of role-relevant questions, run asynchronously.
- Scorecards instead of resume re-reads — Founders review a structured scorecard with the candidate's recorded answers, rather than re-reading a CV they already skimmed.
- Threshold gates — Lightweight minimum criteria (work authorisation, experience floor, specific skill markers) so founders are not reviewing scorecards for candidates who were never going to fit.
- Human decision, every time — Every progression decision is made by a founder. No automated rejections. No "the AI passed on them."
What we are watching for
We agreed three things to measure with the Exara AI team. We will publish them once there is enough volume for the numbers to mean anything.
- Founder time per hire. Specifically, the time founders spend on first-round screening before deciding who to talk to live.
- Quality of the first live conversation. Whether founders walk into the first real call with a candidate already knowing what they want to dig into.
- Hire outcomes at 90 days. Whether the people who came through the structured funnel are still in role and contributing as expected.
We will publish founder time saved per hire, first-call quality rating, and 90-day retention here once the first cohort of hires hits the 90-day mark — verified numbers only, with Exara AI's sign-off.

What this engagement is teaching us
Some of the most useful product input we have had recently has come from this engagement, specifically because the team has zero tolerance for friction. A few patterns we are already acting on:
- Defaults matter more at this size. A startup founder will not configure 14 fields before running an interview. The fastest path from "we just posted a role" to "an applicant is talking to the AI" has to be measured in minutes, not hours.
- The scorecard is the product surface. Founders barely touch the rest of the dashboard. The scorecard is where they live, and it has to be readable in one minute on a phone between meetings.
- The candidate experience is non-negotiable. Candidates who interview at a small startup are often passing on bigger names to do it. If the AI interview feels cold, the startup loses the candidate before the founder ever sees the scorecard.
What is explicitly out of scope
To keep this honest:
- We are not claiming Exara AI has replaced an HR function with Voxxhire. They do not have one to replace.
- We are not claiming a hire count or a time-to-hire delta yet. The sample is too small to be meaningful.
- We are not naming individual candidates, hired or not.
What we are committing to publish next
When this page is updated:
- Named founder quote, with role.
- A named hire's quote on the candidate experience, with their permission.
- Honest numbers on founder time per hire and 90-day retention, in prose if the sample is small.
- A short list of the product changes that came directly out of this design partnership.
Until then, please treat this as a live snapshot of an engagement in progress, not a finished outcome.
